This covers our website at keepcalm.fit and the sign-up forms we link from it. It complements our main Data & Privacy policy, which covers data across the whole community.
What the website is
keepcalm.fit is a small informational website. It tells people what Keep Calm is, lists activities, and links out to our WhatsApp groups, sign-up forms, and social media. Short links such as keepcalm.fit/whatsapp/football and keepcalm.fit/tuesday-tennis redirect to those destinations.
Information the website collects
- Browsing the site: you can read the site without giving us any personal information.
- Standard server logs: the web server hosting keepcalm.fit (provided by Hetzner Online GmbH, Germany - see Hetzner's privacy policy) automatically logs technical data such as IP address, browser type, and pages visited, for security and to keep the site running. This is standard for any website.
- Redirect links: following a
keepcalm.fitshort link sends you on to a third party (WhatsApp, Google Forms, Meetup, Playtomic, a social network). What they collect is governed by their own privacy policies.
Cookies and analytics
- We use Google Analytics 4, provided by Google Ireland Limited, to understand how the site is used - which pages people visit and where traffic comes from - so we can improve it. We do not sell this data, and we do not use it to track you across other websites.
- Google Analytics sets a small number of analytics cookies in your browser (
_gaand_ga_<id>) and processes the data under Google's privacy policy. These are analytics cookies, not cookies strictly needed to make the site work. - We do not currently show a cookie banner, so these analytics cookies are set when you visit the site. You can refuse or delete them through your browser settings, or use a browser or extension that blocks Google Analytics, without affecting how the site works.
- We use no advertising cookies and no other third-party trackers on the site.
Forms (Google Forms and similar)
When you sign up for an activity through a linked form, the form provider (usually Google) processes your responses. Depending on the form, that may include your name, contact details, skill level, and availability.
- We use that information only to organise the activity.
- It is handled as described in Data & Privacy, including retention and your GDPR rights.
- Google processes the data on its platform under Google's privacy policy.
Signing in / joining via the website
Some parts of keepcalm.fit (like /onboard and member login) are built into our own site rather than a linked Google Form:
- Verification codes: signing in or completing
/onboardsends you a one-time code by SMS (via Twilio Inc., USA) or email (via Resend, Inc., USA). These providers only see the phone number/email and the code itself. - Onboarding answers: your answers on the
/onboardform (name, contact details, and the other questions it asks) are stored in a database run by Supabase, separate from our other tools. - Both are handled as described in Data & Privacy, including retention and your GDPR rights.
Third-party destinations
We link to services with their own privacy policies, including:
- WhatsApp, Instagram and Facebook (Meta Platforms Ireland Ltd)
- Google Ireland Limited (Forms, Sheets, Drive)
- Meetup
- Playtomic
We are not responsible for their data practices. Review their policies if you have concerns.
