We love capturing the community in action. Photos and videos help show what we do, welcome new members, and keep a record of good times. This policy explains how we use media and, importantly, how you can opt out.
For how images sit within our wider data handling, see Data & Privacy.
What to expect
- Photos and videos are often taken at sessions and events.
- You may appear in group shots and action shots.
- Media may be used by Keep Calm for community and promotional purposes, including on our Instagram, Facebook, website, and other Keep Calm channels.
Legal basis and opt-out
Routine event and group photography is based on our legitimate interest in promoting the community, not on your consent - it's not something we ask you to individually opt into each time, the same way a sports match or festival wouldn't. If you join via keepcalm.fit, this is called out as its own specific item on the onboarding rules checklist, so it's something you're explicitly told about upfront.
Because it's legitimate interest, not consent, you can object and opt out at any time. You do not need to give a reason.
- Tell the organiser or photographer at the start of a session, or any time during it.
- Position yourself away from the camera if you prefer.
- If you are in a photo you would rather we did not use, just ask and we will not post it.
We will do our best to respect opt-outs on the day. Group and crowd shots taken from a distance can occasionally make this difficult, so please remind the photographer if it matters to you.
Requesting removal
If something has already been posted and you want it taken down:
- Contact an organiser or the person who runs our social media.
- Tell us which photo or video (a link or description helps).
- We will remove it from Keep Calm channels within a reasonable time.
Note that once an image is public, others may have already saved or reshared it, which is outside our control. We will always remove our own copies and posts.
If you take photos at events
- Be respectful of others and read the room.
- Ask before taking close-up or individual shots.
- Do not photograph anyone who has asked not to be photographed.
- Do not share images that include other people's private information.
- See Community Conduct for the behaviour standards that apply.
Children
Keep Calm is an adults-only (18+) community, so our media should feature adults only. If a child appears incidentally (for example a passer-by at a public beach), we will avoid using that image.
Special events
For some events we may ask for explicit photo consent on the sign-up form, or use a dedicated photographer. Any specific arrangement will be stated with that event.
